Managing Your Calendar

Your day at a glance, and everything you can do from it

The calendar is your default view and the one to leave open during a shift. Rooms down the side, dates across the top, every booking coloured by status. This section covers reading it, checking guests in and out, moving and resizing bookings, blocking rooms, and assigning unallocated OTA bookings.

How do I read the calendar?

Rooms run down the left, dates across the top, and each booking is a coloured bar spanning the nights the guest is staying. Today's date is marked with a black circle.

The controls above it:

  • Weekly or Biweekly — seven days, or fourteen
  • Arrows to step back and forward a period at a time
  • Today to jump back to now
  • The calendar icon — hover says Jump to date — to go straight to any date

The date header stays put as you scroll down a long room list, so you never lose track of which column is which.

What do the colours on my calendar mean?

Every booking is coloured by its status, so you can read the state of the hotel without opening anything.

Two extra markings are not statuses but appear on the bars:

  • Diagonal stripes in peach — an unallocated booking, waiting for you to assign a room
  • Diagonal stripes tinted with the status colour plus a House label — a house account stay, meaning owner, staff or a complimentary guest

What is Today's Summary telling me?

A row of counts above the calendar, refreshing on its own every half minute. It is the fastest read on the state of the hotel.

A sixth count, Unallocated, appears only when there is something to deal with — OTA bookings with no room assigned. It is clickable, and takes you straight to them.

The counts update the moment you check somebody in or cancel a booking, so the bar always matches reality.

How do I fit more of the calendar on screen?

Two small chevrons sit on the divider in the header, cycling the left columns through three layouts:

  • Both — Room Type and Room Name side by side
  • Room type expanded, room name collapsed
  • Room name expanded, room type collapsed

Your choice is remembered, so the calendar opens the way you left it.

You can also collapse whole room types. A chevron in the Room Type header collapses or expands them all at once, and each group can be folded on its own — handy when you want to watch your suites and ignore your standards.

There is also a lock button next to Jump to date, which stops the calendar scrolling sideways by accident while you are dragging a booking.

How do I see a booking's details without opening it?

Hover over the bar. A small card appears with everything you usually need:

  • The guest's name with a status dot
  • A payment pill — paid, partly paid, unpaid, overpaid or refunded
  • Dates, nights, room type and room number
  • The guest breakdown — adults, children, infants
  • Price per night
  • A House Account chip if it is one

From the card you can go straight to View Payment or Add Payment, cancel the booking, or open it fully with the pencil icon.

That payment pill is the useful part. You can run down a morning's arrivals and see who still owes you money without opening a single booking.

How do I check a guest in or out?

Open the booking and change its status. Upcoming becomes Checked In; checked in becomes Checked Out.

If the booking has more than one room, you get a choice — "Do you want to check in the whole booking or only one room?":

  • Check in only this room — for a family arriving in two cars
  • Check in all rooms — for a group arriving together

Both directions are reversible. A check-in can go back to Upcoming, and a checkout can go back to Checked In, so a mis-click at a busy front desk is a two-second fix rather than a problem.

How do I move a booking to another room or date?

Drag the bar. Amiqa always asks you to confirm before anything changes.

The confirmation names exactly what is about to happen — the guest, the room it is leaving, the room it is going to — so you can catch a slip before it lands.

For a group booking, it tells you what is included: "Other rooms in this group booking will not be affected." Moving one room of a group moves only that room.

Bookings that are checked out, cancelled or marked no-show cannot be dragged. They appear faded, which is your cue.

A guest wants to stay another night. How do I extend it?

Drag the end of the bar. Amiqa confirms with Resize Booking? and shows you what changes:

  • +1 nights added or −1 nights removed
  • The estimated price change
  • For a group, whether to change Only this room or the Whole group

Watch for one thing when shortening a stay. If the guest has already paid, you will be told: "This booking already has payments collected. Reducing the stay creates a payment mismatch — adjust or refund manually if needed." Amiqa changes the nights but leaves the money to you, because only you know whether that is a refund or a goodwill gesture.

Why is a booking striped, and how do I give it a room?

Striped means unallocated — an OTA sold a room type rather than a specific room, and Amiqa is waiting for you to choose which one. It sits in its own lane above your room rows.

Click it and pick a room. The panel explains the situation and tells you what you are allowed to do:

"Originally booked as [room type] for [guest]. Pick any room with availability for the full stay — rooms outside [room type] are also allowed."

That last part is deliberate. You are not locked to the type the guest booked, so you can upgrade somebody into a better room that would otherwise sit empty. Rooms outside the original type are grouped separately as Other rooms.

Press Assign room and it moves into place on the calendar.

You can also send a booking the other way — drag it into the unallocated lane to free the room while you decide.

How do I block a room?

Click an empty cell on the room and date you want. Amiqa asks "What would you like to do? You can add a new booking or block this room." Choose Block Room, set the dates and write the reason.

Any reason works — maintenance, a repair, deep cleaning, renovation, or keeping a room for family.

Blocked cells show in red across those dates, and hovering shows a card with the room, the dates and your reason. That reason matters — in three weeks nobody remembers why room 4 was blocked, and the card answers it instantly.

Click a blocked cell to Edit Room Block — change the reason or the dates — or Remove Block when the work is done.

Blocking removes the room from sale on every channel for those dates, so you cannot be booked into a room with no working shower.

What is a House Account booking?

A stay that is not a sale — owner, staff, or a complimentary guest. The room is properly occupied, but the night is left out of your revenue figures.

On the calendar it wears diagonal stripes and a House label, so you can tell at a glance that a full-looking hotel includes two rooms nobody paid for.

The important part is what it does to your numbers. A house account stay:

  • Counts in occupancy — the room genuinely is not sellable
  • Is excluded from revenue, ADR and RevPAR — its price is locked to zero

That is exactly right. Recording your own stay as a normal booking at zero would drag your ADR down and make a good month look mediocre. House Account keeps your performance figures honest while still blocking the room.

Can I use the calendar on my phone?

Yes. There is no app to download — Amiqa runs in your phone's browser, with touch gestures built for it. Pinch to zoom in and out of the grid, and swipe left or right to move between periods.

The sidebar becomes a row of tabs along the bottom. A tablet works the same way, with more room to see.

It is genuinely usable for what you need away from the desk — checking who is arriving, looking somebody up, taking a walk-in. For rate changes and room setup, wait until you are at a computer.
