Operations Panel

What happened, what needs doing, and how many breakfasts

August 13, 20265 min read

The Operations panel slides out from the sidebar and holds three things your team needs daily: a log of everything that happened, a shared notebook with reminders and photos, and tomorrow's breakfast list. It is the shift-handover tool.

What is the Operations panel?

A panel that slides out from the Operations item in the sidebar, holding four tabs: Activity, Teams, Notes and Breakfast.

It is the shift-handover tool. Everything the next person needs to know — what happened while they were away, what still needs doing, and what the kitchen should prepare — in one place they can open without leaving the calendar.

An orange dot on the Operations icon means there is activity you have not seen. Open the panel and it clears.

How do I see who changed what?

The Activity tab. Every entry says what happened and who did it, newest first.

Two controls narrow it:

  • Time rangeToday, Yesterday or Last 72h
  • FilterAll, Reservations, Payments or Check-ins

Three days is as far back as it goes, which is the right window for its job. This is "what happened on my shift", not long-term archaeology.

It answers the questions that otherwise turn into awkward conversations. Who cancelled the Hernández booking? Who moved room 4? Was that payment recorded twice? The log answers all three without anyone having to remember.

What gets recorded in the activity log?

Twenty kinds of event, covering bookings, money, rooms and channels.

Bookings — New reservation · New tentative · Walk-in · Unallocated booking · Room assigned · Updated · Dates changed · Room changed · Canceled

Guests — Checked in · Checked out · No-show

Money — Payment received · Refund

Rooms — Room blocked · Block removed

Channels — Channel disconnected · Channel deactivated · Channel reactivated · Channel sync error

The channel entries are the ones people forget to look for. If your rates stopped reaching Booking.com, a Channel sync error or Channel disconnected entry tells you when it happened — which is usually enough to work out why.

Where can my team leave notes for each other?

The Notes tab. It reads like a chat — write in the box at the bottom, press Send, and it appears in the feed grouped under Today and Yesterday.

You can attach things: Attach image for a photo, Attach document for a file. Sub-tabs let you browse just the Photos, Documents or Links that have been shared, which is how you find that photo of the broken tap three weeks later.

There is a search box, and you can delete your own notes.

What it is good for:

  • Handover — "Room 6 shower dripping, plumber Tuesday"
  • Evidence — a photo of damage, attached where everyone can see it
  • Things with no other home — the spare key is with the neighbour, the delivery comes Thursday

How do I tag a note?

Tags sort the feed so the right person finds their own items. The built-in ones:

  • Urgent — needs attention now
  • Reminder — something scheduled
  • Transport — pickups, transfers, taxis
  • Housekeeping — cleaning and linen
  • Room service — guest requests
  • Room — tag it to specific rooms. A small dialog asks which: "Write room or rooms for this tag…"

You can also add your own with Add custom tag, up to 30 characters — for whatever your hotel actually deals with. Pool, Garden, Breakfast, Front Gate.

The Room tag is the most useful. Tag a maintenance note to room 6 and anyone looking at problems by room finds it.

Can Amiqa remind me to do something?

Yes. Use Schedule reminder on a note, set a date and time, and it comes back to you then.

When it fires you can Dismiss it, Read note to open it, or snooze — Snooze 5m, Snooze 15m or Snooze 1h. A note shows how many times it has been snoozed, which is an honest little nudge about the thing you keep putting off.

You cannot set a reminder in the past; Amiqa will tell you.

This is the feature for the small commitments that fall through the cracks:

  • Call the guest in room 3 back about their transfer at 4pm
  • Chase the plumber tomorrow morning
  • Follow up the unpaid balance before the guest checks out
  • Confirm the tentative hold before releasing it

How many breakfasts do I need to prepare?

The Breakfast tab. It tells you the count — "12 guests with breakfast today" — then lists them room by room: Room 4 — Hernández (2).

Download CSV gives your kitchen a list they can print and work from. When nobody has breakfast it says so: "No guests with breakfast today."

The numbers come from the breakfast setting on each booking, so they are only right if that is being set. Two places it gets missed:

  • A rate plan that includes breakfast, where the booking was created without the flag
  • A guest who added breakfast at check-in and nobody recorded it

Get in the habit and the kitchen stops guessing. Over-preparing is waste; under-preparing is a complaint.

There is also a fuller Breakfast Report view in your reservations list, covering today and tomorrow.

What is the Teams tab?

A placeholder for team features. It is visible in the panel but not yet in use.

Staff accounts and permissions are managed from the Dashboard side, under your account settings — Account Settings → Account in the sidebar.

What is a good routine with this panel?

Starting a shift — open Activity for the overnight picture, then Notes for anything left for you. Two minutes.

During a shift — note anything the next person needs, with a room tag. Set a reminder for anything you promised a guest.

Ending a shift — check Breakfast for tomorrow's count and pass it to the kitchen. Leave a note for whoever is next, even if it is only "quiet night, nothing outstanding". That sentence is worth more than it looks — it tells the next person they are up to date.
