The list view is every reservation as a searchable, filterable row. Use it to find one booking fast, or to answer questions about how a period went. It also holds a payments view and a breakfast report, and everything you filter can be exported to CSV or Excel.
What is the list view for?
Every reservation as a row you can search, sort, filter and export. The calendar answers "who is in room 4 tonight"; the list answers "find the Hernández booking" and "how did June go".
Each row shows the guest, the channel it came from, the room, the dates, the status and the payment state. Click a row to open the booking.
By default it shows the last 30 days, which keeps the view fast and relevant. Widen the dates when you need history.
What are the three views above the list?
A switcher with Bookings, Payments and Breakfast Report — the same period, looked at three different ways.
Bookings — reservations. Your default.
Payments — every transaction, with collected, to-collect and overdue totals. This is where you chase money.
Breakfast Report — how many breakfasts to prepare, and for which rooms.
Same filters carry across, so narrowing to one room type in Bookings keeps that narrowing when you switch to Payments.
How do I search for a guest or a booking?
The search box takes a guest name, an email or a booking code, and needs at least three characters — fewer and it will ask you for more.
Three characters is usually enough. "her" finds Hernández. The last few characters of a booking reference find one specific reservation.
If a booking you know exists will not appear, check your dates. The list shows the last 30 days by default, so an older reservation is filtered out before the search ever runs. Widen the range in the filters and search again.
Searching from the calendar's summary bar brings you here with the search already applied, so you never have to switch view and retype.
How do I filter the list?
Start with the date question, because it changes what everything else means. A three-way switch asks which date you are filtering on:
Check in — guests arriving in this period. For operations: who is coming.
Check out — guests leaving in this period. For housekeeping and invoicing.
Created on — bookings made in this period, whenever the stay is. For demand: how is business coming in.
That last one is the most under-used and the most interesting. "How many bookings did we take last week?" is a Created on question, and it tells you whether your pricing and marketing are working right now — long before those guests arrive.
Then narrow further:
Status — including Tentative, Cancelled and No Show, so you can look specifically for them
Channel — one OTA, or direct, or walk-ins
Room Type
Booking type — All, Standard or House Account
How do I see bookings from one channel only?
Use the Channel filter. It covers your OTAs and your manual sources together, so you can look at Booking.com alone, or every direct booking, or just walk-ins.
In the list each booking wears a small round badge for where it came from:
B in blue — Booking.com
E in gold — Expedia
A grey letter — a manual source: D direct, W walk-in, T tour operator
Filtering by Direct and comparing the count to an OTA is the clearest picture of how much of your business you own outright.
What is the difference between the Booker and the Guest columns?
The Guest is who is staying. The Booker is who made the reservation. Often the same person, sometimes not.
They differ more than you would expect: a company booking for an employee, a parent booking for their children, an agency booking for a client, one friend booking for a group. The list shows booker name, email and phone as their own columns, so you know who to contact about the reservation and who to greet at the door.
There is also a Created / Updated column, showing when a booking was made and — only if it changed — when it was last modified. A booking modified three times in a week is usually a guest who needs a phone call.
How do I export my bookings to Excel?
The round download button at the end of the toolbar. It offers two routes:
Download All — every column. Then choose CSV or Excel.
Select Fields — pick your columns first. The table headers become clickable; click the ones you want and they highlight. The download icon turns into a checkmark once you have chosen at least one. Click it again and pick your format.
The export always matches what is on your screen. Whatever you have searched and filtered is what comes out — so filter first, then export, and you get exactly the slice you wanted rather than everything.
Available columns include the guest and booker details, reference, channel, room and room type, dates and nights, adults, children and infants, status, payment status, totals, tax, currency, rate plan, breakfast, and created and updated dates.
How do I move through a long list?
Pages, not endless scrolling. The footer tells you where you are — showing a range out of a total — with Per page to change the size and arrows to move.
The total is the useful bit. It answers "how many bookings did we take in June?" directly, without exporting anything: set your filters and read the number.
Where are the filters on a phone?
Behind a Filters button, which slides up a panel holding all of them. Apply and it closes, leaving you the full width for results.
Search stays visible in the toolbar, since it is what you mostly want on a phone — a guest is standing in front of you and you need their booking.
Why is there a row with no guest name?
That is a room block, not a booking. Blocks appear in the list alongside reservations so a period you are reviewing accounts for every night — including the ones you deliberately took off sale.
It is what stops the confusion of a room that looks empty in your figures but was actually closed for repairs.
